Creating And Using Stationery Documents - Mac Basics

If you frequently create documents that contain boilerplate information, such as your personal or company letterhead, or a standard form like a form letter, contract, or invoice, you will find it convenient to store a generic copy of the document as Stationery.

To create Stationery with the Mac, first prepare a master document and proofread to make sure it is copy perfect. Then when you save the document, do one of the following:

Apple's own application programs (e.g.: SimpleText and AppleWorks) will display a Stationery save option in the save dialog box in the lower right hand corner. in this instance you will see two document icons displayed, each with a small radio button beside it. One will be a standard generic document icon with the left top corner folded over, and will be selected by default. The second icon has the lower right corner folded up, with another page visible beneath it; this is the save as Stationery option. Select it by clicking its radio button, and when you click the save button , your document will be saved as Stationery.

2. Most non-Apple programs don't show the two document type icons, but rather offer a Stationery option in either a dedicated checkbox or the pull-down menu of file type save options in their Save dialog box.

3. A few programs have neither a Stationery icon nor a pull down menu Stationery file type option selection or checkbox. In that case, just save the document as a normal save. Then go to the Finder and check on the document icon to highlight it. Now, open the File Menu, select Get Info, and check the Stationery Pad checkbox in the Get Info dialog box.

In all three cases, what you will end up with is a document that when you double click on its icon, a duplicate copy of the document will open, leaving the original untouched.

To edit a Stationery document, highlight its icon, choose Get Info from the File Menu , and turn off the Stationery Pad check box. Make your modifications, and then reopen the Get Info dialog and recheck the Stationery Pad checkbox.

Store the Stationery document in a convenient place, and double click it whenever you need a copy.
